The following terms and conditions apply to all services provided by Borough of Bromley Cars T/A Bromley Airport Transfers (“We”, “Us”, “Our”). These Terms and Conditions and the web-based booking form constitute the entire Agreement concerning the provision of Airport Transfer services (“Service”) between you (“You”, “Your”, “the Passenger”) and Borough of Bromley Cars T/A Bromley Airport Transfers.
You, as a passenger, are contracting solely with Bromley Airport Transfers. We are regulated and licensed by Transport for London (TfL) and operate in compliance with the Private Hire Vehicles (London) Act 1998 and the 2000 Regulations, including Regulation 9(14). Based on Regulation 9(14), any booking-related issues must be handled directly with Bromley Airport Transfers.
Completion of a booking and/or use of our Service indicates your unconditional acceptance of these Terms and Conditions.
We may change these Terms and Conditions at any time. Existing bookings will be honoured at the rate applicable at the time the booking was made.
We request a minimum of 24 hours’ notice for online bookings. Completion of the booking form and acknowledgement email do not constitute a confirmed booking. A confirmation or cancellation email will be sent once availability has been checked. If your booking is less than 24 hours away, please call our office to check availability. You must allow sufficient time when booking your car to allow for airline check-in and possible delays caused by traffic or weather.
It is the passenger’s responsibility to provide complete and accurate booking details, including pick-up times, dates, addresses, and flight numbers. We shall not be liable for any loss, delay, or missed flight arising from incorrect or incomplete information supplied by the passenger.
We shall not be responsible for any delay caused by your failure to allow enough time to reach your destination or if passengers are not ready for collection at the booked time. You must order a suitable car size for the number of passengers and luggage.
Passengers are responsible for selecting an appropriately sized vehicle for their luggage at the time of booking. For safety and compliance with TfL and UK road regulations, all luggage must be securely stored in the designated luggage compartment. Drivers reserve the right to refuse carriage if luggage cannot be safely accommodated.
If there are any changes or variations to the agreed journey (including extra mileage, waiting time, or deviations), additional charges will apply in accordance with our pricing structure.
We allow 75 minutes free waiting time on incoming flights from the time your plane lands. After this period, waiting charges will apply. If the driver has not made contact with the passenger after 75 minutes, this will be deemed a no-show and charged in full.
If you need to cancel your booking, please contact us as soon as possible. Cancellations made with more than two hours’ notice are free of charge. If a booking is cancelled after a vehicle has been dispatched, a charge will apply based on the distance and time travelled by the driver prior to cancellation.
We take complaints very seriously and will investigate all matters thoroughly. Please provide as much detail as possible (date, time, location, driver number, reason) when submitting a complaint via email.
You are responsible for the behaviour of all passengers in the vehicle. Cleaning costs will be charged if the vehicle is soiled by any passenger.
A receipt can be issued in-car for card payments. Handwritten receipts are available for cash payments. Emailed receipts may take up to three working days if requested on the day of travel.
We reserve the right to refuse to carry any passenger who appears to be under the influence of alcohol or drugs or whose behaviour may pose a risk to the driver or vehicle. In such cases, the journey will be terminated immediately when it is safe to do so.
Whilst we use all reasonable endeavours to ensure our drivers arrive on time and that you reach your destination promptly, Borough of Bromley Cars T/A Bromley Airport Transfers shall not be liable for any loss or expense (including, without limitation, missed flights, missed connections, loss of accommodation, or any consequential or indirect loss) arising from any delay, however caused. It is your responsibility to allow sufficient time for your journey, taking into account traffic, road conditions, weather, and other factors. We recommend allowing at least an additional 30–60 minutes beyond normal travel time to ensure arrival for check-in or appointments.
A child, regardless of age, counts as one passenger. If a child seat is required, please inform us at the time of booking. We can provide age-appropriate seats when pre-booked, but installation of the seat must be carried out by the passenger. Under UK law, child seats are not mandatory in private hire vehicles, so children may travel in the rear seat secured by an adult seatbelt in exceptional cases.
If a driver is delayed or cannot reach you on time, we will endeavour to provide an alternative vehicle. Please contact our office immediately if your driver does not arrive at the scheduled time.
We reserve the right to change your vehicle or driver at any time if necessary, without prior notice.
Smoking is strictly prohibited in all vehicles. Eating and drinking are not permitted without the driver’s consent. All vehicles are fully insured for passenger and third-party claims; however, customers’ property is carried entirely at their own risk.
All luggage and personal belongings are carried entirely at the passenger’s own risk. We shall not be liable for any loss or damage to personal property unless resulting directly from the proven negligence of our driver. In such cases, our liability shall not exceed £100 in total.
If the car breaks down during your journey, we will endeavour to arrange an alternative vehicle as soon as possible.
We shall be entitled to cancel or suspend services in the event of a national emergency, riot, war, fuel shortage, extreme weather, terrorist incident, or other circumstances beyond our control.
We shall not be held responsible for any delay or failure to perform our obligations under this Agreement resulting from circumstances beyond our reasonable control, including but not limited to road closures, traffic accidents, adverse weather, mechanical failure, industrial disputes, acts of terrorism, or actions of public authorities.
It is illegal to make a Private Hire booking directly with our drivers under Regulation 9(14). We are not liable for any situation that arises from travel arranged without an official booking confirmation email from Borough of Bromley Cars T/A Bromley Airport Transfers.
All personal data is collected, processed, and stored in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Our Terms and Conditions may be updated from time to time without notice. You are advised to check back regularly before and during your bookings, as our Terms may change.
All images, descriptions, and information provided on our website or in marketing materials are for guidance only and do not form part of any contract.
We reserve the right to amend service specifications when necessary to comply with safety or legal requirements, or where changes do not materially affect performance.
Subcontracted companies or drivers are not authorised to make representations about our services unless confirmed in writing by us. You acknowledge that you have not relied on any representations not so confirmed.
Quoted prices are valid for 24 hours unless otherwise specified.
We reserve the right to increase prices prior to service delivery to reflect increases in operational costs beyond our control, including but not limited to fuel costs, currency changes, or delays caused by the customer.
Services rendered on 25 December are subject to a 50% surcharge.
Services rendered on 26 December are subject to a 25% surcharge.
Customers must be ready to travel at the booked time. Waiting time is charged after 15 minutes at £20 per hour (minimum £5, at the driver’s discretion).
Your booking may be subject to additional waiting time (£20 per hour) and airport car park fees based on the published airport charges. These fees are payable directly to the driver in GBP (£).
Our total liability to you, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall in no circumstances exceed the amount paid by you for the specific journey to which the claim relates. We do not accept liability for any indirect or consequential loss, including missed flights, connections, or loss of opportunities.
This Agreement shall be governed by and construed in accordance with English law, and both parties agree to submit to the exclusive jurisdiction of the English Courts in respect of any dispute arising from this Agreement.
